1. About this policy
We respect your privacy. This policy explains how we collect, use, store and share personal information when you enquire about, book or attend a Pichi event, or use our website. It covers corporate events, weddings and private parties, including our catering, bar, entertainment, staffing and event-production services.
2. Information we collect
• Contact and booking details: names, roles, organisations, phone numbers, email and billing addresses.
• Event details: dates, venues, guest numbers, budgets and preferences.
• Records: booking correspondence, contracts, invoices and payment records. We do not store full card details; card payments are handled by our payment provider.
• Guest information: guest lists, seating plans, and dietary and allergy requirements, where supplied.
• Supplier and venue contacts.
• Feedback and marketing preferences.
• Photos and video taken at events.
• Website data: IP address, device and browser details, and cookie choices.
3. How we use your information
We use personal information to:
• answer enquiries and prepare quotes;
• book, organise and deliver your event, and take payment;
• manage suppliers, venues and event logistics;
• keep financial records and meet our legal obligations;
• deal with complaints and protect our legal position;
• send marketing, where you have agreed or the law allows.
We rely on the following legal bases: performing our contract with you, or taking steps before one; our legitimate interests in running and delivering events; our legal obligations; and your consent, where we ask for it.
If you book an event and give us guest details, please share only what we need for the event and let your guests know you have passed their details to us.
4. Allergies and dietary requirements
Allergy and dietary information can reveal health details or religious beliefs, so we treat it with extra care. When you or your guests tell us about an allergy or dietary need, we use it only to prepare safe, suitable food. We share it only with the chefs, staff or specialist suppliers who need it, and we never share it with other guests.
5. Who we share information with
We share information only with those who need it to deliver or support your event. This can include:
• Pichi staff;
• other PenniBlack Collective brands involved in your booking;
• chefs, venues, performers and staffing partners;
• delivery partners and payment providers;
• our accountants and professional advisers;
• the providers of our email, website and event-management systems.
We may also disclose information where the law requires it. We never sell personal information.
6. Marketing
If you sign up for updates, or where the law otherwise allows, we may contact you about Pichi events, services and news. You can unsubscribe at any time using the link in any marketing email, or by emailing hello@pichi.uk. We keep a short record of opt-outs so we don't contact you again by mistake. Your details are not passed to other PenniBlack Collective brands for their own marketing.
7. Photography and filming
We photograph and film food, drinks, styling and set-ups for our portfolio and social media. We will not use identifiable images of guests in our marketing without permission. We respect confidential events and any request not to be photographed. If you have a concern about an image, email hello@pichi.uk and we will deal with it promptly.
8. Cookies
Our website uses essential cookies so the site works properly. We only use analytics or advertising cookies if you accept them. You can accept or reject non-essential cookies when you first visit, and change your choice at any time.
9. How long we keep information
• Enquiries that don't lead to a booking: deleted after 12 months.
• Guest lists and dietary information: deleted 12 months after the event.
• Contracts, invoices and accounting records: kept for six years, as required for tax and legal
purposes.
• Marketing records: reviewed regularly. We keep opt-out details so we can respect your choice.
10. Security and international transfers
We protect personal information with appropriate safeguards, including restricted access and secure, reputable service providers. Some of our providers may store data outside the UK. Where they do, we make sure it is protected by UK-approved safeguards.
11. Your rights
You have the right to:
• access the personal information we hold about you;
• correct it or ask us to delete it;
• restrict or object to how we use it;
• receive a copy of it in a portable format;
• withdraw consent at any time, where we rely on consent.
To make a request, email hello@pichi.uk. We will respond within one month.
12. Children
Our services are booked by adults, but children may attend events. We collect only the information needed to look after them at the event, take extra care with children's details and images, and never use children's details for marketing.
13. Data breaches and complaints
If a data breach happens, we investigate it and notify the ICO and anyone affected where the law requires. If you have a concern about how we handle your information, please contact hello@pichi.uk first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
14. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with its effective date.
