1. Definitions
Client - the person or company named on the Booking Confirmation Form.
Event - the function, party or service Pichi has agreed to provide.
Event Price - the agreed price shown on the pro-forma invoice, including agreed changes.
Working day - Monday to Friday, excluding bank holidays in England and Wales.
Guaranteed Minimum Number - the final minimum guest number confirmed by the Client, on which catering and applicable per-head charges are based.
Booking Confirmation Form - the document setting out the Event details, services, date, venue and price.
2. Booking and confirmation
2.1 Provisional bookings. A date may be held provisionally, without obligation, for 10 working days. After this period Pichi may release the date if the booking has not been confirmed.
2.2 Confirmed bookings. A booking is confirmed when Pichi receives both a deposit of 50% of the Event Price, as shown on the pro-forma invoice, and the completed, signed Booking Confirmation Form.
2.3 Balance. The remaining 50% is payable no later than 10 working days before the Event.
2.4 Late bookings. For bookings made within 10 working days of the Event, the full Event Price is payable on booking. The Event is confirmed only once payment has cleared and the signed form has been received.
2.5 Changes. Changes to services, numbers, menu, staffing, entertainment, styling or production must be confirmed in writing. Any additional charges will be agreed before the changes are made.
3. Guest numbers
3.1 Expected attendance. The number on the Booking Confirmation Form should be a realistic estimate, used to price and plan the Event.
3.2 Guaranteed Minimum Number. The Client must confirm the Guaranteed Minimum Number at least 10 working days before the Event. This is the minimum number for which the Client will be charged.
3.3 Reductions. Reductions after confirmation of the Guaranteed Minimum Number do not reduce the agreed charge for that number.
3.4 Increases. Pichi will make reasonable efforts to accommodate increases requested at least 5 working days before the Event, subject to ingredients, equipment and staffing availability. Additional charges will be confirmed.
3.5 Significant changes. If numbers change substantially before the guaranteed number is confirmed, Pichi may review the quotation, including fixed staffing, equipment and production costs. Any revised price will be agreed before proceeding.
4. Food, drink, entertainment and tastings
4.1 Prices. Prices are those agreed at booking. Client-requested changes are quoted and agreed separately.
4.2 Authentic ingredients. Many dishes and drinks use specialist Latin American ingredients. If an ingredient becomes unavailable for reasons beyond our reasonable control, Pichi will seek the closest suitable alternative and notify the Client of significant substitutions where possible, particularly those affecting allergens or dietary suitability.
4.3 Circumstances outside our control. Pichi will make reasonable efforts to deliver the Event. If severe weather, fire, flooding, government restrictions, transport disruption or another event beyond our reasonable control prevents an agreed service, we will consult the Client about alternatives. If performance becomes impossible, we will discuss postponement or cancellation and refund payments for services not provided, subject only to lawful, reasonable and evidenced deductions for costs already incurred. Nothing in this clause affects statutory rights or excludes liability that cannot lawfully be excluded.
4.4 Drinks. Unopened bottles of wine, sparkling wine and champagne supplied on a bottle basis and returned in original saleable condition are refunded in full. Refunds do not apply to opened bottles, cocktails, spirits, drinks packages or agreed minimum-spend arrangements. Eligible refunds appear in the post-event reconciliation. Alcohol will not be served to anyone under 18 or appearing intoxicated. Staff operate Challenge 25.
4.5 Music, performers and dance. The Client must ensure the venue permits booked entertainment, including noise and finish-time restrictions. Pichi will coordinate performers included in its booking; reasonable breaks may be taken during long sets. We are not responsible for venue or authority restrictions outside our reasonable control unless caused by our breach or negligence. If a performer becomes unavailable, we will make reasonable efforts to arrange a suitable replacement in consultation with the Client.
4.6 Tastings. A tasting costs £500 + VAT, paid in advance. The first tasting fee is deducted from the Event Price if the Event is confirmed and the food value exceeds £4,000 + VAT. Otherwise it is not deductible. Further tastings cost £500 + VAT each and are not deductible. Tastings at the Client's venue may incur additional delivery, equipment and staffing charges agreed in advance.
5. Allergies, dietary requirements and food safety
5.1 Dietary requirements. Pichi caters for a wide range of requirements, including vegetarian, vegan, gluten-free, dairy-free and allergen-related diets. The Client must provide all known requirements at least 5 working days before the Event. Late requests will be accommodated where reasonably possible.
5.2 Allergens. Pichi will prepare suitable alternative dishes using ingredients that do not intentionally contain notified allergens. Our kitchens and suppliers handle nuts, gluten, dairy, shellfish and other allergens; although we use appropriate controls to minimise cross-contact, we cannot guarantee dishes are entirely free of traces. Accurate allergen information will be available, and guests with allergies should consult our team before eating. If we cannot safely accommodate a particular allergy, we will explain and discuss alternatives.
5.3 Specialist catering. Where specialist certification or preparation is required, such as certified kosher or halal catering, Pichi may arrange an appropriate specialist supplier. Additional costs will be agreed in advance.
5.4 Food safety. Pichi follows applicable food safety law and documented food safety procedures. Food will be stored, transported, displayed and served within appropriate temperature and time limits. Food that can no longer safely be served will be removed and disposed of. Perishable food will not be left at a venue unless safe to do so and the Client signs a food release form acknowledging responsibility for subsequent storage, handling and consumption. This does not remove Pichi's responsibility while food is under our control.
5.5 Client-supplied food. Additional food may not be introduced for service without written consent. For agreed items, such as celebration cakes, a food release form may be required. Pichi is not responsible for safety or quality of food supplied by others except where issues arise from our handling or negligence.
6. Payment and post-event reconciliation
6.1 Methods. Payment is accepted by bank transfer (BACS) or credit card.
6.2 Schedule. The deposit and balance are due under section 2. For late payment, Pichi may suspend preparations or cancel after reasonable notice and an opportunity to pay; section 7 then applies.
6.3 Refundable post-event deposit. Pichi may require a separate refundable deposit of up to 10% of the Event Price before the Event. It covers reasonable agreed extras, staff overtime, additional food, drinks, staffing, equipment or services, and breakages, damage or additional cleaning for which the Client is responsible. It is not an additional fee unless deductions are required.
6.4 Reconciliation. After the Event, Pichi will provide a final account of extras, overtime, damage, full credits for eligible unopened wine, sparkling wine and champagne, and the deposit held. The net refund will be paid by BACS within 14 days of the Event. If charges exceed the deposit and drinks credits, the outstanding amount is payable within 7 days of invoice. A breakdown of deductions is available on request.
6.5 VAT. Prices exclude VAT unless expressly stated. VAT is charged at the applicable rate.
6.6 Overpayments. Overpayments are refunded within 14 days of the Event or within a reasonable period after earlier identification.
7. Cancellation and postponement
7.1 Notice. Cancellations must be sent in writing to hello@pichi.uk. Notice takes effect when received.
7.2 More than 5 working days before the Event. Pichi will refund payments in full, less any reasonable,nnon-recoverable costs already incurred specifically for the Event. Examples include committed specialist ingredients, performers, bespoke production and third-party hire. Deductions reflect actual losses after savings and reasonable mitigation and will be explained on request.
7.3 Within 5 working days. Pichi may retain or charge reasonable costs incurred or committed, including food purchased or prepared, chefs and other staff, performers, equipment, transport, bespoke styling and other unavoidable Event costs. We will account for savings and recoveries. Charges will be proportionate, will not exceed the Event Price and will reflect losses reasonably incurred. Any remaining balance will be refunded within 14 days of the final cancellation calculation.
7.4 Postponement. Pichi will make reasonable efforts to move an Event to a date within 6 months, subject to availability. Where possible, payments transfer to the new date. Any additional, non-recoverable supplier costs will be discussed and agreed. If no new date is agreed, cancellation provisions apply, subject to statutory rights.
7.5 Cancellation by Pichi. If Pichi cancels for reasons within its control, payments for services not provided will be refunded in full, without limiting any further liability that cannot lawfully be excluded. For circumstances beyond our reasonable control, section 4.3 applies.
7.6 Consumer rights. Nothing in this section affects statutory rights. Consumer cancellation charges will be fair, proportionate and limited to losses Pichi can reasonably justify.
8. Staffing, surcharges and additional services
8.1 Timings. Charges are based on the agreed access, preparation, service and clearing schedule. Running beyond it may result in extra charges.
8.2 Overtime. Additional hours are charged at rates agreed in the quotation or confirmed in writing. Pichi will seek approval where practical; reasonable unavoidable costs caused by Client delays may be charged.
8.3 Bank holidays. Events on bank holidays in England and Wales carry a 25% surcharge on staffing and delivery rates. Events running into a bank holiday may incur additional charges depending on service requirements.
8.4 Minimum hours. Staff are charged for at least 4 hours unless otherwise agreed.
8.5 Transport. If staff finish after midnight or safe reliable public transport is unavailable, the Client pays reasonable taxi costs. Shared journeys will be arranged where practical.
8.6 Meals. Suitable meals must be provided for staff and performers working over 6 hours, either from the guest menu at the agreed price or as an agreed alternative.
8.7 Additional services. Requests for extra food, drinks, staff, performers or equipment will be accommodated where reasonably possible, with charges confirmed in advance wherever practical.
9. Liability, damage and insurance
9.1 Our liability. Pichi will perform its services with reasonable care and skill. Subject to section 9.2 and applicable law, total liability arising from an Event is limited to the Event Price. For business Clients, indirect or consequential business losses, including lost profit or reputation, are excluded to the extent permitted by law. Private Clients retain all statutory consumer rights and remedies that cannot lawfully be limited.
9.2 Non-excludable liability. Nothing limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability the law does not permit us to limit.
9.3 Client responsibilities. The Client is responsible for guest conduct, venue suitability and independently arranged services. The Client is responsible for reasonable loss or damage caused by the Client or guests, except to the extent caused by Pichi's negligence or breach.
9.4 Hired equipment. Pichi and hired equipment must be treated with reasonable care. The Client is responsible for loss or damage caused by the Client or guests between delivery and collection, excluding fair wear and tear and damage caused by Pichi or its suppliers. Repair or replacement charges will be reasonable. Avoidable damage to linen, furniture and equipment may be charged.
9.5 Client equipment. Client equipment must be safe and working. Pichi is not responsible for defects beyond its control, but remains responsible for damage caused by its negligence.
9.6 Other suppliers. Pichi is not responsible for directly appointed Client suppliers except to the extent our negligence or breach contributed. Pichi remains responsible for its contractual obligations where it appoints suppliers as part of its services.
9.7 Cloakroom. Guests should not leave valuables unattended. Pichi will take reasonable care of belongings entrusted to staff, but is not responsible for loss unrelated to negligence or breach.
9.8 Insurance. Pichi maintains appropriate insurance for its catering and events activities. The Client must ensure suitable venue insurance and any additional Event cover.
10. Client and venue responsibilities
Unless otherwise agreed in writing, the Client ensures the venue provides safe access; clean, hygienic working areas; suitable power, water, lighting and heating; appropriate food preparation facilities; waste disposal; fire safety and first aid arrangements; necessary licences for alcohol, music, dancing and entertainment; and suitable insurance.
10.1 Access. The Client must arrange access at agreed times. Pichi will try to adapt to delays or restrictions, but may charge reasonable additional costs directly caused by matters within the Client's control.
10.2 Facilities. If essential facilities are unavailable, Pichi may arrange alternatives and discuss charges where reasonably possible. Unsafe facilities or equipment may be refused.
10.3 Other suppliers. The Client must tell Pichi about other suppliers whose work may affect our services. We will coordinate where appropriate; directly contracted suppliers remain the Client's responsibility.
10.4 Final details. Menus, dietary needs, timings, guest numbers and service arrangements must be finalised within the deadlines in these terms. Pichi will issue a final Event sheet, which the Client should check promptly and report any errors.
10.5 Safety. Pichi may stop or modify activities presenting an immediate significant safety risk, discussing alternatives where possible.
11. Photography, confidentiality and marketing
11.1 Photography. Pichi may photograph or film food, drinks, styling, installations and setups for its portfolio and marketing, subject to reasonable confidentiality or photography restrictions communicated in advance.
11.2 Guests and data. Pichi will not knowingly publish identifiable guest images for marketing without appropriate permission or another valid lawful basis. Personal information will be handled under applicable data protection law.
11.3 Corporate confidentiality. Pichi will respect reasonable confidentiality requirements agreed with the Client for private activities, unreleased products or confidential information.
12. Complaints and resolving concerns
12.1 During the Event. Concerns should be raised with the Pichi Event Manager as soon as reasonably possible so they can be addressed.
12.2 Afterwards. Please email hello@pichi.uk, preferably within 7 days. Pichi will investigate and seek a fair resolution.
This suggested period does not restrict statutory rights or prevent later complaints.
13. General
13.1 Changes to terms. Terms provided at booking apply to that Event. Later changes require the Client's agreement.
13.2 Written agreements. Event amendments must be confirmed in writing. Individually agreed terms take precedence over conflicting standard terms.
13.3 Severability. If one provision is invalid or unenforceable, the rest remain effective.
13.4 Law. These terms are governed by the law of England and Wales. Courts of England and Wales have jurisdiction, subject to mandatory consumer rights regarding where proceedings may be brought.
13.5 Statutory rights. Nothing affects rights or remedies available under applicable law.
